Aim is to find a way to support implementers in configuring users, roles/rights, requisition groups, facilities, programs, processing periods, supervisory structures
Example
1 national warehouse
8 district hospitals (each supervises 10 Health Facilities)

80 Health facilities and 16 ARV clinics (each district hospital oversees 10 HF and 2 ARV clinics)

Program Schedules
- ART is monthly

- Family Planning is quarterly
Supervisory Structure
- All ARTs are first approved by District Store Manager then ART Program Manager
- Essential Meds are only approved by District Store Managers
- Malaria is first approved by District Store Manager then Malaria Program Manager
- Family Planning is directly approved by FP Program Manager
Each HF and D Hospital has a storeroom manager to initiate and a store manager to authorize.
ART clinics only have a pharmacist to do both initiate and authorize.
Scenario 1: In Balaka, a hospital center receives stock from health programs that are supervised by different program owners. They are implementing openLMIS.
Facility questions:
- Where is this facility? Balaka
- What is the name of this facility? BAK01
- How many programs are at this facility? Two.
- What are the programs? Essential Meds and Family Planning
- Who is part of this facility, and what are their responsibilities?
- Steve is the store manager who orders stock and manages stock levels.
- Mark is the program supervisor of Essential Meds who reviews the requested stock and verifies the appropriate amounts are ordered.
- Liz is the program supervisor of Family Planning who reviews the requested stock and verifies the appropriate amounts are ordered.
Approver questions:
- How many people will approve? One per program
- Where are the approvers located? Balaka
- How many people will initiate requests and who? Steve will manage inventory, create reqs, view reqs, delete reqs, and authorize them for review by Mark or Liz
- Are multiple approvers required for all programs? No
- When are multiple approvers required? Not required
- Who will approve? Mark for Essential Meds, Liz for Family Planning
- Which programs will the approver be responsible for? See above
Program questions:
- What products are available in this facility?
- How many approvers are required for each program? One for each program
Schedule questions:
- How often does/should an order get fulfilled? Every month
- What day does the order get fulfilled? At the beginning of the month
- What programs follow this schedule? Essential Meds and Family Planning
- What periods are you ordering for? Monthly periods

- How many programs are at this facility? One to two at each facilitiy.
- What are the programs? Essential Meds and ART
- Who is part of this facility, and what are their responsibilities?
- Carly is the store manager of SCC01 who orders stock and manages stock levels.
- Mark is the store manager of DH01 who orders stock and manages stock levels.
- Eric is the District Storeroom Manager for all hospitals and community clinics in the area. He reviews the requested stock and approves the appropriate amounts are ordered, and adjusts orders when necessary.
- Dan is the store manager for HC03 who orders stock and manages stock levels.
- Katie is the Program Supervisor for ART who reviews the requested stock and verifies the appropriate amounts are ordered to manage budget expectations.
Approver questions:
- How many people will approve? Two in certain situations
- Where are the approvers located? DH02 and a home office
- How many people will initiate requests and who? Mark, Carly and Dan will initiate requests for their facilities.
- Are multiple approvers required for all programs? No
- When are multiple approvers required? For all orders.
- Who will approve? Eric for all programs, then a secondary approval from Katie for ART
- Which programs will the approver be responsible for? See above
Program questions:
- What products are available in this facility?
- How many approvers are required for each program? Two for ART, one for Ess Meds
Schedule questions:
- How often does/should an order get fulfilled? Monthly or quarterly
- What day does the order get fulfilled? At the beginning of the processing period
- What programs follow this schedule? Essential Meds and ART
- What periods are you ordering for? Monthly and quarterly periods
